Integration Overview
With ScaleUp's Microsoft Outlook integration, you can contact candidates directly from ScaleUp as opposed to having to open Outlook.
ScaleUp uses the official OAuth APIs provided by Outlook to allow us to perform automated outreach on your behalf to prospective candidates for recruiting purposes. Key functionalities include:
- The ScaleUp Admin user consents/connects the integration to let ScaleUp to send emails, get replies, and create labels all from their Outlook to enable ScaleUp’s automated outreach functionality.
- ScaleUp uses standard Outlook APIs to send emails and get relevant replies (if emails are sent to candidates via ScaleUp).
- It is delegated access, meaning ScaleUp can access emails for users who performed OAuth based authentication and it is very easy for users to revoke the access and wipe data as needed.
Note:
The use of an Alias address for authentication is not supported by ScaleUp. You must use a functioning Outlook mailbox only.
How to Set Up Outlook in ScaleUp
When you go to contact a candidate, you'll see the option to Message them directly in the platform.
- Click Message.
- From here, an email modal will open. If this is your first time connecting, click Add Email (Outlook) to begin connecting your Outlook account. Add your sender name and email address.
- Outlook will open. Click the email address you want to connect, then Continue. Accept the permissions being requested from ScaleUp by clicking Allow. More on permissions being requested below.
You can also set up the integration by heading to your profile menu, then Account Management > Integrations > Email > Add Email.
Choose Sign in with Gmail and complete the account connection the same way as described in the steps above.
What is Happening when the Integration is Connected?
The diagram below shows what's happening between the two platforms when you contact a candidate via Outlook.
Security FAQ
Q: With this integration, can ScaleUp read my company's emails?
A: The outreach functionality in ScaleUp takes labels/categories and email history as inputs to classify any relevant replies using email headers/metadata. Only relevant reply emails (replies to a user’s ScaleUp campaign) are read by ScaleUp’s technology.
The matching of the relevant emails are done using Labels/Category, SMTP/Message Identifier, Thread Identifier and Sender/Receiver & Subject. ScaleUp does not use this email content in any manner (anonymized or otherwise) other than providing value to the end user to whom the email belongs. We do not store any email or email data that is not relevant to the automated outreach feature of ScaleUp.
Q: Why does ScaleUp require read and write access to my company's emails?
A: ScaleUp requires write access in order to allow our customers to send messages to prospective candidates using the customer’s email domain directly from the ScaleUp platform. ScaleUp does not draft/write/send emails on our customer’s behalf. The campaign functionality within ScaleUp can be used to send a single/series of pre-scheduled emails to a shortlist of candidates. This functionality in ScaleUp is highly customizable with the use of campaign variables (which are unique values based on the candidate profile), outreach scheduling, sending emails on behalf of Hiring managers etc.
ScaleUp integrates with the user’s email client so that the user can reach out to prospective candidates from their own inbox.
ScaleUp does not read any emails from the user’s inbox except for the specific emails sent from campaign functionality using ScaleUp (detailed in the previous section). We track these emails to provide value to the customer like showing user responses within the ScaleUp platform, stopping the campaign for the candidates who responded, and showing metrics on campaigns such as what percentage of candidates have expressed interest.
Q: What APIs are being used in this integration?
A: This integration utilizes the Outlook mail rest API. For full detail on the Outlook API, check out this article from Microsoft.
Q: Can I use any email account for candidate outreach in ScaleUp?
A: No, you must use your own email account for outreach. Make sure you have the appropriate user permissions for your account. Using another team member's email account without proper authorization may result in errors when attempting to send messages. As noted, alias addresses are not supported by the ScaleUp integration - you must use a functioning Outlook mailbox.
