Overview
Connecting your search to the corresponding job in your ATS allows you to seamlessly sync profile and job updates between both platforms and dedupe candidates that you may have already reached out to.
Once your applicant tracking system (ATS) has been integrated with ScaleUp, candidates are automatically exported to the ATS based on the configuration you have selected while Linking the Search to an ATS job.
In addition to auto-export, ScaleUp also provides the option to manually export a profile to ATS.
How It Works

On your Homepage, click the lightning bolt next to the search name. A pop-up window will appear with exporting options.

Select the corresponding job from the ATS Jobs dropdown.

Select whether you want to export candidates to your Applicant Tracking System (ATS) as either prospects or applicants, and choose the stage to which you'd like to export the candidates. The stages in the dropdown reflect those in your ATS
4. Select whether you want ScaleUp to automatically export candidates to your Applicant Tracking System (ATS) or if you prefer to do it manually. Tool Tip* We recommend opting for automatic exporting to enhance efficiency.
5. You can choose to export all candidates in a campaign or only those who respond to a campaign, and select which type of response to export.
6. Lastly, select which email addresses associated with the candidate you would like to export.
Note:
A valid email address is required for all candidate exports to your ATS. If a candidate does not have an email address in ScaleUp, they will be marked as 'Reachout on LinkedIn' and cannot be exported until an email address is added to their profile.
7. Click the save button to save the options for the designated search.

Note: BambooHR doesn't support exporting candidates' profiles via their API. For users on BambooHR ATS, they would only be able to exclude candidates from the searches which are existing on the ATS. Read more |
Troubleshooting Export Issues
Processing Time
When exporting candidates to your ATS (such as Ashby), there may be a short processing time (typically a couple of seconds to a minute or two) before the candidate's full profile and application data become visible. This delay is due to the time required to export candidate data, update metadata, and import the latest information from the ATS.
Bulk Export Failures
A bulk candidate export can fail if not all candidates have email addresses. Email is a mandatory field for ATS exports. To successfully export, ensure all candidates in the bulk export have email addresses. ScaleUp continues to search for emails for candidates without them, and you can re-attempt the export once emails are found.
Handling Existing Candidates in Your ATS
If a candidate has a previous profile in your ATS (even from several years ago), it may impact automatic exports. Check for potential duplicate records that could prevent new exports. If you encounter issues, manually verify the candidate's status in the ATS and contact support if the export fails.
ATS Activity Not Visible in Search List
If you're not seeing ATS activity for candidates in the ScaleUp search list view, this may be because the candidates are classified as Prospects. Prospects typically do not have associated ATS applications, which means their ATS history will not be displayed in the search list view or candidate highlights.
Candidates Already in ATS Appearing in External Sourcing
This can occur when the 'include ATS candidates' setting is turned on. When this setting is active, candidates already in your Applicant Tracking System may appear in the external sourcing channel, which can be confusing when trying to identify new potential candidates.
In addition to the issues above, here are two other common export challenges you may encounter:
Incorrect Contact Information After Export
If you discover incorrect contact information after exporting a candidate profile, take these steps:

Verify the original source of the data.

Manually update the contact information in the target system.

Contact the Support teams of the integrated platforms to investigate any potential sync issues.
Discrepancies in Candidate Numbers
If you observe inconsistencies in candidate numbers across different tabs during an ATS integration:

Verify the exact discrepancy by comparing the numbers in different views.

Check if the sync process completed fully.

Contact technical support with specific details about the integration, such as the ATS platform and the exact nature of the number mismatch.
